Data Retention Policy
This policy describes how long Full Stack Tech & Solutions LLC retains different categories of data and how data is securely deleted.
01.Purpose
Full Stack Tech & Solutions LLC ("FSTS") maintains this Data Retention Policy to ensure that data collected and processed through our services is retained only as long as necessary for its intended purpose, in compliance with applicable legal requirements.
This policy applies to all data processed through FSTS services, including the ARMA Platform, APEX TRIBUTUM AI, OPERON, and associated services.
02.Account and User Data
Account registration data, including name, email address, organization details, and contact information, is retained for the duration of your active account plus 3 years following account closure.
Login records, session data, and access logs are retained for 90 days for security monitoring purposes and up to 7 years where required for compliance or legal hold.
Payment and billing records are retained for 7 years in accordance with financial record-keeping requirements.
03.Incident Recordings and Evidence Files
Incident recordings captured through ARMA Domus, Alert, and Sentinel systems are retained according to the terms of your active service plan. Standard retention is 90 days for routine recordings with active-incident files retained for the duration of related proceedings.
Evidence files that have been flagged, exported, or associated with an active legal proceeding are placed on legal hold and retained until the proceeding is resolved and hold is released by the account holder or authorized legal counsel.
Cryptographic integrity records (hash verification logs) for evidence files are retained permanently to support long-term chain-of-custody documentation.
04.ARMA Law Shield Records
Evidence access logs — recording which authorized parties accessed specific evidence files and when — are retained for a minimum of 7 years or the duration of any related legal proceeding, whichever is longer.
Attorney access credentials and authorization records are retained for 5 years following the last access event.
05.Communications and Support Data
Customer support tickets and communications are retained for 3 years following resolution.
Demo requests, lead capture forms, and pre-sale communications are retained for 2 years.
Marketing communication preferences and opt-out records are retained indefinitely to honor your preferences.
06.Data Deletion Process
Upon account termination, FSTS will initiate secure deletion of your data within 90 days, subject to legal hold obligations, regulatory requirements, and your service agreement.
Secure deletion uses industry-standard methods that render data unrecoverable. Backup copies are deleted on the same schedule as primary data within standard backup rotation cycles.
You may request early deletion of specific data categories by contacting privacy@fstacktsolutions.com. Deletion requests are subject to legal hold review.
07.Legal Hold
Data subject to a legal hold will not be deleted regardless of standard retention schedules. Legal holds may be placed by FSTS in response to litigation, regulatory inquiry, or law enforcement process, or by the account holder to preserve evidence.
Account holders may request a legal hold on specific data by contacting legal@fstacktsolutions.com with documentation of the relevant proceeding.
